Position Overview
We are seeking a Document Control Lead to join our cutting-edge aerospace manufacturing project based in Dubai South. This role is pivotal in delivering a revolutionary urban air mobility aircraft by managing the entire Electronic Document Management System (EDMS) lifecycle and ensuring rigorous compliance with regulatory standards.
Key Responsibilities
- Establish and maintain EDMS taxonomy, metadata, permissions, and controlled-template archives.
- Manage document lifecycle stages including identification, revision, approval, distribution, and retention, ensuring every document is traceable.
- Maintain the Evidence Register that links project milestones with supporting documentation.
- Conduct quarterly audits to ensure full compliance and enforce regulatory document control policies.
- Oversee regulator communications and keep records aligned with ISO 15489 and certification requirements.
- Enforce strict controls to guarantee that only documents within the EDMS are used for decision-making and compliance.
Requirements
- Between five and eight years of experience in document and records management within aerospace, aviation, or similarly regulated manufacturing sectors.
- In-depth knowledge of ISO 15489, AS9100D standards, and document control policies.
- Experience handling ORCON and classified records.
- Familiarity with PMO practices including milestone tracking, gate approvals, and evidence-gating.
- Practical working knowledge of EDMS platforms such as Aconex, Documentum, OpenText, M-Files, or SharePoint.
- Ability to provide training and enforce compliance by withholding approval of uncontrolled documents.
- Experience in managing certification records or regulator-related correspondence is a strong asset.
- Skills in Power BI and workflow automation are advantageous but not mandatory.
Additional Information
- Direct reporting to PMO Manager and dotted line to Quality/Governance.
- Key milestones include launching EDMS and templates within month one, establishing full document lifecycle operation by month two, achieving compliance audits with no uncontrolled documents by month three, ensuring 95% evidence completeness by month six, and scaling the function for external audits by month twelve.
- The position is full-time and office-based in Dubai with occasional travel as needed for audits.
- Confidential handling of sensitive program and regulator information is mandatory, with signed confidentiality and information security agreements required.
