Job description
Role Overview
The Dispatch Officer is responsible for overseeing the daily scheduling and coordination of deliveries. This position manages assigning orders to available drivers and riders, route planning, and ensuring timely dispatch of all deliveries. The role is based at the dispatch hub and does not involve on-road delivery tasks.
Key Duties
- Create and assign delivery routes to drivers and riders daily, taking into account order volume and geographic locations.
- Monitor the availability of vehicles and riders, including checking the electric motorbikes' charge levels prior to dispatch.
- Organize and schedule electric motorbike charging to prevent dispatch of vehicles with low battery and avoid interruptions during routes.
- Maintain real-time tracking of all deliveries and drivers while they are out on routes.
- Verify completion of deliveries and promptly highlight any delays or failed deliveries.
- Keep accurate dispatch logs and prepare daily performance reports.
- Facilitate communication between the sales/orders departments and the delivery team to settle any scheduling conflicts.
- Report any issues related to vehicles, driver licensing, or delivery documentation to higher management immediately.
Candidate Requirements
- Previous experience in dispatch operations, logistics coordination, or fleet management is preferable.
- Excellent organizational skills with the capacity to handle multiple variables such as vehicles, schedules, and routes simultaneously.
- Strong interpersonal and communication skills with the ability to remain composed under pressure.
- Basic proficiency in record maintenance and reporting, using tools such as spreadsheets or logbooks.
- Familiarity with the Nairobi delivery zones will be advantageous.
