About the Role
We are seeking a detail-focused, proactive Creative Operations Coordinator to efficiently manage the daily operations within our internal agency. This entry-level role is perfectly suited for individuals eager to gain firsthand experience in agency workflows and pursue a career in project management, operations, or client services.
You will facilitate the coordination of branding, design, and marketing projects, helping our creative team maintain organization, meet deadlines, and deliver high-quality results. Key Responsibilities
- Coordinate multiple branding, design, and marketing projects through all stages from start to finish.
- Maintain and update project schedules, timelines, task lists, and workback plans.
- Arrange internal team meetings, client presentations, and reviews.
- Monitor project progress and follow up with team members on deliverables and deadlines.
- Create and distribute meeting agendas, notes, and actionable items.
- Assist with project documentation and ensure efficient organization of project assets.
- Manage project management systems to keep information accurate and current.
- Organize creative assets, project files, and maintain internal documentation.
- Support enhancements in workflow and agency processes.
- Coordinate with freelancers, vendors, and production partners as needed.
- Keep projects organized as they proceed through each phase.
- Manage team calendars and schedules.
- Assist in onboarding freelancers and new hires.
- Prepare presentations, meeting materials, and documentation to support team initiatives.
- Facilitate improved collaboration and communication through internal initiatives.
- Assist client communication efforts, including meeting logistics and follow-ups.
- Help prepare client-facing presentations and deliverables.
- Document and share feedback, approvals, and tasks related to client projects.
- Contribute to delivering a smooth client experience throughout project lifecycles.
- Support marketing efforts by updating the agency website, social channels, newsletters, and case studies.
- Assist with award submissions, speaking engagements, and business development materials.
- Help organize agency events, photoshoots, and marketing activities.
Desired Qualifications
- Between 1 and 3 years experience in project coordination, operations, account coordination, marketing, or related fields; agency background preferred but not mandatory.
- Outstanding organizational skills with acute attention to detail.
- Ability to juggle multiple priorities in a fast-moving environment.
- Strong written and verbal communication capabilities.
- Proactive mindset, positive attitude, and eagerness to learn.
- Effective time management and reliable follow-through on assignments.
- Comfortable working with Google Workspace and Figma.
- Familiarity with project management platforms such as Asana, Monday.com, ClickUp, Notion, or comparable tools is advantageous.
Additional Advantages
