Job Overview
The Coordinator of Shipping and Receiving plays a vital role in overseeing and efficiently handling mail and package distribution within the organization. This position ensures smooth flow of communication by managing incoming and outgoing mail operations effectively.
Key Responsibilities
- Retrieve incoming mail from postal carriers, categorize it according to departments, and distribute accordingly.
- Keep the mailroom organized and clean to maintain efficiency.
- Handle outgoing mail preparation, including weighing parcels, applying postage, and scheduling timely dispatch.
- Maintain precise records of all mail and package movements, noting dates and recipients.
- Manage receipt and delivery of packages, including expedited shipments such as overnight deliveries.
- Address customer questions related to postal services, rates, and delivery timelines.
- Ensure adequate stock of postage, envelopes, packaging supplies, and basic office materials in mail and business offices.
- Support the security team at the control room desk as needed.
- Complete additional tasks assigned related to mail and shipping services.
Qualifications and Requirements
- High school diploma or GED required.
- Strong attention to detail for accurate sorting and record management.
- Capacity to multitask and prioritize workload effectively.
- Clear communication skills for coordination with colleagues and postal personnel.
- Physical ability to lift and carry packages weighing up to 50 pounds.
- Competence in mail sorting software and tracking technologies, including CCTV and 24/7 incident management systems, plus Envoy visitor check-in software.
- Willingness to work extended and flexible hours, including nights, weekends, and holidays.
- Spanish language proficiency is an advantage.
- Proficient with Microsoft Office applications.
Certifications and Licenses
- Possession of a valid Florida Driver’s License is mandatory.
Physical Requirements
- Ability to lift or move items weighing up to 50 pounds.
- Role involves indoor and outdoor work, including exposure to various environmental conditions.
- Requires physical activities such as stooping, standing, walking, bending, sitting, kneeling, and squatting for extended durations.
