About the Role

We are seeking a full-time Coordinator, Billings to join our dedicated Billings team. Reporting to the Team Leader, Billings, this role is crucial for ensuring the timely and accurate preparation of client invoices. You will play a key part in the billing cycle, collaborating with legal assistants and managing various e-billing platforms.

Key Responsibilities

  • Oversee the entire billing cycle, collaborating with legal assistants to accurately and promptly prepare, revise, and finalize client invoices.
  • Scrutinize, modify, and process invoices to guarantee adherence to client guidelines and internal firm policies.
  • Manage invoice submissions via eBilling Hub and upload billing rates, budgets, and supporting documents to diverse e-billing systems.
  • Address and resolve issues within e-billing platforms to maintain seamless operations and timely submissions.
  • Promptly handle and resolve billing-related inquiries and discrepancies, delivering excellent service to internal stakeholders.
  • Ensure strict compliance with the firm's billing approval protocols and specific client requirements.
  • Process pre-bills with meticulous attention to documentation and record-keeping accuracy.
  • Execute time and cost transfers with precision, ensuring billing accuracy.
  • Serve as a primary resource for legal assistants, providing guidance and support on billing procedures and tools.
  • Assist in generating financial and billing-related reports as needed.
  • Undertake additional administrative and billing support tasks to achieve team objectives.
  • Perform other duties as assigned.

Requirements

  • A university or college degree in an accounting-related field is preferred.
  • A minimum of 2 years of prior experience in a similar billing or accounting role is required.
  • Previous experience within a professional services environment is advantageous.
  • Familiarity with accounting software, strong proficiency in Microsoft Excel, and knowledge of SQL are beneficial.
  • Solid understanding of fundamental accounting principles related to billing, time/cost tracking, and accounts receivable.
  • Ability to excel in a fast-paced work environment.
  • Exceptional problem-solving capabilities.
  • Strong client service orientation with the ability to build and maintain professional relationships.
  • Capacity to meet stringent deadlines, perform effectively under pressure, and manage workload prioritization.
  • Essential qualities include discretion, confidentiality, and meticulous attention to detail.
  • A collaborative team player who also demonstrates initiative and can work effectively independently.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to provide superior client service and anticipate client needs.
