About the Role
The Town of Dartmouth is inviting applications for the position of Conservation Office Assistant on a part-time basis (19 hours per week). This role provides essential administrative and clerical support to the Conservation Department. The assistant will facilitate the smooth functioning of the Conservation Commission by handling tasks such as preparing meeting agendas, compiling materials and reports, posting public notices, and scheduling hearings. Attendance at evening Commission meetings and record keeping through meeting minutes preparation are also key duties. The role involves assisting residents, consultants, contractors, town departments, and the general public with queries related to permitting processes, deadlines, and other conservation services.
Key Duties and Responsibilities
- Handling incoming phone calls and emails, directing them appropriately.
- Organizing and scheduling appointments and meetings for the department.
- Maintaining departmental records and filing systems efficiently.
- Monitoring permit applications and statuses through online systems.
- Processing payments and invoices linked to permitting and other services.
- Drafting official correspondence, including notices, documents, and permits.
- Supporting data collection, helping with reports, and preparing materials for annual reports, budgets, and strategic planning.
- Managing sensitive and confidential information with discretion.
Candidate Requirements
- Minimum of a high school diploma or an equivalent qualification is mandatory.
- An associate degree in business management or a related discipline is preferred but not required.
- At least three years of experience in permitting and secretarial work, or a combination of comparable education and professional experience, is preferred.
- Strong understanding of office processes, procedures, and organizational skills.
- Excellent communication abilities paired with the capacity to manage multiple tasks efficiently.
- Familiarity with municipal government operations and pertinent regulations.
- Ability to interact professionally and tactfully with public members, contractors, and other departments.
