Job description

Role overview

The Care Co-ordinator will work alongside the assigned Client Care Manager to help oversee and grow operations in County Meath. This role is focused on maintaining service quality for service users while supporting the company’s goals and quality assurance standards.

Key duties

  • Support the Client Care Manager with service delivery and day-to-day coordination for the area.
  • Handle communication with Care Managers, the HSE, prospective service users, next of kin, health professionals, and other relevant agencies involved in service development and training.
  • Respond to daily queries from care assistants.
  • Help expand the business by managing new care package requests from both the HSE and private clients.
  • Upload weekly carer rosters and client templates for week 1 and week 2.
  • Maintain full oversight of rotas, including accountability for scheduling.
  • Track missed and late client care calls and follow up on concerns.
  • Complete timesheets each day.
  • Identify growth opportunities and work with recruitment when additional staff are needed.
  • Work closely with the Client Care Manager in the assigned area.
  • Deliver high-quality customer service when dealing with clients, Client Care Managers, and carers by phone.
  • Build strong working relationships with internal teams such as client care management, recruitment, and compliance.
  • Develop effective relationships with external customers and stakeholders across the assigned CHO geography to support business growth.
  • Prepare weekly management information on run efficiency and staff capacity.
  • Create weekly reports for management covering efficiency and quality.
  • Compile daily referral updates as well as monthly, quarterly, and annual reports.
  • Review and report on the efficiency and quality of runs and staff capacity.
  • Maintain a daily on-call log of concerns or issues and escalate to the appropriate on-call personnel.
  • Put contingency plans in place and manage risk effectively.
  • Keep accurate internal records of client and carer concerns and report them appropriately.
  • Answer incoming calls in a courteous, professional, and informed manner.
  • Adapt quickly and take on additional duties as required to support a fast-growing business.
  • Carry out other tasks as needed to meet the company’s operational requirements.

Working hours and location

This position is based in the Drogheda office. The expected schedule is Monday to Friday, with either 8:30am to 5:00pm or 9:00am to 5:30pm.
