About The Role

The Care Co-ordinator will work closely with the Client Care Manager to support and develop a specific area within the company. The role involves assisting the Client Care Manager in achieving company objectives and maintaining high service quality for Service Users, adhering to the company's Quality Assurance Policy. This includes liaising with various stakeholders such as Care Managers, the HSE, potential Service Users, next of kin, health professionals, and other agencies involved in service training and development. The Care Co-ordinator will also handle daily queries from Care Assistants.

Key Responsibilities:

  • Drive growth in service hours by managing new package requests from both HSE and private sectors.
  • Manage and upload carer rosters and client templates for weekly schedules (Week 1/Week 2).
  • Maintain complete oversight and accountability for all rotas.
  • Monitor client care calls, including tracking missed and late calls.
  • Complete timesheets on a daily basis.
  • Analyze growth opportunities and communicate staffing needs to the recruitment team to meet business demand.
  • Collaborate closely with the Client Care Manager in the assigned area.
  • Deliver exceptional customer service when responding to calls from clients, Client Care Managers, and carers.
  • Foster strong working relationships with internal business support functions, including Client Care Management, recruitment, and compliance.
  • Develop effective external customer and stakeholder relationships within the assigned geography to maximize business potential.
  • Prepare weekly management information reports detailing the efficiency of service delivery and staff capacity.
  • Generate weekly reports for management on efficiency and quality metrics.
  • Prepare daily (referrals), monthly, quarterly, and annual reports.
  • Demonstrate efficiency and quality in service delivery and staff capacity management.
  • Maintain a daily log of concerns or issues encountered and escalate to the appropriate on-call personnel.
  • Develop contingency plans and effectively manage risks.
  • Keep an accurate and coherent log of all client and carer concerns within internal systems and report on them.
  • Answer incoming calls in a friendly, professional, and knowledgeable manner.
  • Adapt and grow within the role to meet the demands of a fast-paced, expanding business.
  • Undertake other duties as required to meet the company's needs and responsibilities.
