Team Overview
The Buying team is growing. Reporting directly to the Buyer, you will collaborate to source and create memorable gifting experiences. Your role involves understanding client needs, identifying suitable regional partners, and facilitating gift delivery that resonates emotionally while prioritizing sustainability and material responsibility.
Role Summary
We are looking for a seasoned Buying Assistant with a solid foundation in product development and production management, ideally in fast-paced retail environments. This position centers on supply chain execution — after client approval, you act as the main liaison managing production schedules, coordinating approvals, and ensuring seamless manufacturing processes. Working alongside creative and logistics departments, you'll oversee multiple production timelines, keep suppliers accountable, assess and mitigate risks, and guarantee timely, high-quality product delivery with administrative support.
Key Responsibilities
- Oversee production from client approval to shipment ensuring orders advance smoothly, on time, and to the required standards.
- Manage critical timelines for multiple suppliers, ensuring timely submission and review of lab-dips, strike-offs, artwork proofs, and samples.
- Develop and maintain strong supplier relationships through proactive communication, monitoring progress, and resolving issues.
- Coordinate product approvals alongside Buying and Creative teams, ensuring artwork and samples meet expectations before production.
- Handle purchase orders, track payment terms, shipping milestones, and maintain supplier documentation with accurate system updates.
- Inspect product specifications, samples, and production updates to maintain &Open's quality benchmarks and flag risks early.
- Collaborate closely with Creative, Logistics, and Account Management teams to update production status, manage timelines, and communicate supply chain risks.
- Assist the buying team with sample coordination and maintaining product library records across projects.
- Maintain precise production documentation in Google Sheets and internal platforms to keep all information current and accessible.
- Effectively manage multiple deadlines in a rapid growth environment, adapting to changing priorities without compromising detail.
Candidate Requirements
- Minimum of three years’ experience as a Buying Assistant or in Product Development within apparel retail, preferably fast-paced settings.
- Proven ability to manage products through full production cycles aligned with critical path milestones.
- Strong knowledge of garment construction, product specifications, and manufacturing processes.
- Experience collaborating directly with overseas manufacturers and suppliers.
- Exceptional organizational skills with acute attention to detail.
- Commercially savvy with confidence in decision-making.
- Excellent communication and relationship management capabilities.
- Highly skilled in Google Workspace, especially Google Sheets.
- Adept at juggling multiple deadlines calmly and efficiently under pressure.
- Proactive problem solver passionate about high-quality, sustainable product creation.
