Role Overview
The Buying Admin Assistant supports the buying team by ensuring wholesale order management and intake are executed accurately and efficiently. This role involves close communication with wholesale partners, suppliers, and internal teams to keep order fulfillment on track and make necessary adjustments. The assistant also manages the critical path timelines for wholesale operations with guidance from the Assistant Buyer or Buyer.
Key Responsibilities
- Create and update purchase orders promptly.
- Maintain communication channels between buying teams and wholesale suppliers for order queries and clarifications.
- Transfer supplier data, including fabric samples and images, to wholesale partners.
- Monitor and chase critical path milestones to ensure on-time order completion.
- Prepare necessary documentation for order sign off.
- Regularly liaise with suppliers to confirm delivery schedules aligned with critical path deadlines.
- Develop knowledge of supplier delivery terms such as FOB (Freight On Board).
- Assist the Assistant Buyer in managing supplier relationships and delivery commitments.
- Compile and distribute intake progress updates to buying and merchandising teams.
- Use Purchase Information Management (PIM) and Order App systems to make accurate amendments and retrieve supplier data.
- Support trade meetings with analysis of best and worst selling products.
- Understand departmental range monitoring and sales territories.
- Track unpublished stock report data.
- Gain insight into each wholesaler partner's product performance.
