The Business Unit Information Manager plays a central role in strengthening information management standards across projects. This position ensures that document control, workflows, compliance and digital information practices are applied consistently, while also supporting and coaching Information Coordinators to deliver at a high standard.
The role is responsible for the organised handling, control and sharing of project and business documentation so that project teams, stakeholders and external parties always have access to accurate and current information. Working alongside project managers, design teams, consultants and subcontractors, the manager maintains disciplined records, manages version control and makes effective use of platforms such as Dalux, Viewpoint, client common data environments and other systems used on the project.
In addition to technical ownership, the role includes mentoring, troubleshooting and training support for the wider information management team. A key part of the job is to keep improving processes and digital workflows so the business remains aligned with current industry practice and innovation in information management.
Key responsibilities
- Lead Dalux training for new project users, delivering sessions for groups or on a one-to-one basis as needed.
- Serve as the main support and coaching contact for Dalux users, including client representatives, designers, subcontractors and other third parties.
- Work with the Information Systems Manager and project team to create file naming standards that follow DPD requirements.
- Build and maintain project workflows with the ISM across the full project life cycle, following DPD procedures and project direction.
- Create forms, tasks and related items in DFT (FV) in line with DPD procedures and site expectations.
- Set up and run change control processes within the common data environment.
- Check, validate and manage all incoming and outgoing project documents in the CDE, including receipt, classification, verification, registration, distribution and retrieval.
- Prepare and configure reports covering workflows, sample submissions, TQs, RFIs and other trackable information.
- Create and maintain distribution matrices that match project requirements.
- Set up and maintain central site files, uncontrolled drawings and registers.
- Gather and organise operation and maintenance files, health and safety records, quality documentation, environmental records and BCAR files.
- Attend meetings to support collaboration and keep team members and stakeholders engaged.
Experience and background
The ideal candidate will have substantial experience supporting large-scale projects or frameworks with high volumes of data from multiple sources.
Hands-on experience with more than one common data environment or digital field tool is important, along with exposure to multidisciplinary design teams and supply chain partners.
Experience delivering training is required, and experience with onboarding is preferred.
Skills and personal qualities
You should be able to explain protocols and procedures clearly, help others understand and follow them, and ensure standards are applied consistently.
The role suits someone who is highly organised, self-driven, detail-focused and comfortable handling competing priorities.
Strong document preparation and formatting ability is essential, as is the capacity to prioritise tasks, juggle multiple demands and resolve issues quickly.
An interest in project delivery processes, project administration and the wider construction industry is also important.
