Role Overview

The Business Operations Coordinator will oversee and manage business processes to ensure alignment with customer needs and company objectives. This fully remote position involves coordination between various teams and stakeholders to facilitate smooth operations and on-time project delivery.

Key Responsibilities

  • Prioritize safety by ensuring all team members adhere to safety protocols during operations.
  • Support Service Managers in the daily coordination and management of operational activities.
  • Manage business operations aiming to fulfill client expectations and company targets.
  • Act as a liaison between customers and management to maintain effective communication and service delivery.
  • Oversee project task management to guarantee completion within budgets and deadlines.
  • Ensure compliance with company policies and standard procedures.
  • Establish and nurture strong relationships with customers through regular engagement.
  • Lead and document internal and external project meetings, including maintaining meeting minutes.
  • Drive resolution of multiple high-priority project issues promptly.
  • Evaluate ongoing operational efficiency and recommend strategic improvements.
  • Guide internal teams to meet performance benchmarks.
  • Identify and swiftly address any process-related problems impacting operations.
  • Maintain and update standard operating procedures for effective business functioning.
  • Perform essential administrative duties including filing, invoice coding, and documentation.
  • Prepare subcontracts, purchase orders, and coordinate change order communications with subcontractors.
  • Assist Service Managers in monthly profitability assessments to support financial goals.
  • Monitor and approve CMMS work orders for invoicing purposes.
  • Create invoices for project manager review prior to submission.
  • Recommend and help implement process enhancements and new technologies in coordination with management.
  • Promote diversity and inclusion consistently as an integral part of company culture.

  • Maintenance of current and standardized project documentation.
  • Timely and precise preparation of change orders, subcontracts, and purchase orders.

Minimum Qualifications

  • At least 2 years’ experience in contracts and change order management.
  • High School Diploma or GED required.
  • Familiarity with ERP systems.
  • Ability to exercise independent judgment and initiative.
  • Strong communication skills to translate vision into actionable plans.
  • Experience working within a diverse, multi-disciplinary employee-owned company.
  • Commitment to fostering collaboration among teams.

Compensation

The salary range for this position is $60,632 to $75,733 annually.
