Role overview

The Assistant Manager - Operations (Sales Ops) is responsible for handling the full post-sale transaction workflow for Bayut KSA. This role covers payment validation, compliance checks, SPA coordination, readiness for revenue recognition, and cross-functional alignment so that transactions close smoothly and revenue can be recovered predictably. The position also supports both internal teams and external customers, while leading associate-level team members and helping them improve performance and execution quality.

Key responsibilities

  • Monitor incoming customer payments and confirm that receipts are correctly captured.
  • Check that payment evidence is complete, genuine, and shared within the required timelines.
  • Work with Finance to validate, confirm, and reconcile payment information.
  • Follow up on payment SLAs and raise issues when delays or mismatches occur.
  • Review booking forms for completeness and accuracy.
  • Make sure booking forms, CRM entries, and payment records all align.
  • Manage the issuance, collection, and verification of Sale & Purchase Agreements (SPAs).
  • Confirm that SPA details match the booking information and system records.
  • Keep documentation logs and audit trails up to date.
  • Track SPA issuance for all relevant transactions.
  • Ensure SPAs are issued by developers, signed by the required parties, and checked before closure.
  • Support revenue recognition preparation by confirming that transactions meet documentation and verification standards.
  • Coordinate with Finance on invoice eligibility and supporting documents.
  • Prepare and maintain transaction status reports, including DP vs SPA aging, Verified Closed Won status, and developer-wise recovery readiness.
  • Coordinate closely with Sales, Documentation, Finance, Developers, and Customer Support teams.
  • Follow up with sales teams on transaction progress.
  • Support documentation teams in completing SPA execution.
  • Assist Finance with invoicing and reporting requirements.
  • Work with developers on SPA sharing and acknowledgements.
  • Ensure developer documentation requirements are completed within agreed timelines.
  • Use the Ops/Sales Ops hotline to support internal sales teams with transaction queries.
  • Help with customer-facing support related to transaction processing, documentation, and complaints.
  • Coordinate the resolution of transaction issues, including refunds when required.
  • Ensure work is carried out in line with approved policies, SOPs, and workflows.
  • Spot execution gaps, bottlenecks, and repeat issues.
  • Recommend process improvements that improve efficiency and reduce leakage.
  • Support system-based controls and better CRM adoption.
  • Guide associate-level team members, monitor their work, and support their growth and development.

Requirements

  • A bachelor’s degree in Business Administration, Operations Management, Finance, or a similar discipline is required.
  • Extra certifications in operations, compliance, or project management are considered an advantage.
  • 5 to 7 years of experience in operations, sales operations, or transaction management is needed.
  • Experience in real estate operations is preferred.
  • Previous exposure to post-sale execution or documentation-intensive roles is highly desirable.
  • Experience in the KSA or GCC real estate environment is a strong plus.
  • Good understanding of transaction workflows is necessary.
  • Hands-on experience with payment verification and document handling is important.
  • Ability to manage SPAs and complex documentation processes is required.
  • Experience preparing reports and dashboards using Excel or CRM tools is expected.
  • Excellent attention to detail is essential.
  • A strong sense of ownership and consistent follow-up ability are required.
  • Ability to coordinate across teams without relying on formal authority is important.
  • Comfort using CRMs and internal systems is needed.
  • Strong skills in MS Excel and Google Sheets are required.
  • Professional-level English is required.
  • Arabic is preferred, especially for coordination with developers and customers.
  • The role requires adaptability, integrity, and strong organisation.
  • Good listening and communication skills with clients, sales staff, and managers are essential.
