About The Role
The Admissions Coordinator plays a vital role within our admissions team by assisting individuals and families pursuing transformative treatment options. This position involves managing professional referrals, engaging clients, and facilitating a seamless admissions process. It demands balancing client advocacy with operational efficiency in a dynamic admissions setting.
Key Responsibilities
- Act as the initial contact point for prospective clients and their families.
- Establish rapport, evaluate client needs, and offer specialized navigation throughout the admissions process.
- Handle incoming calls, web inquiries, and live chats promptly and compassionately.
- Effectively communicate treatment alternatives, financial considerations, and subsequent steps to potential clients.
- Collaborate closely with business development and outreach teams to coordinate incoming referrals.
- Build and maintain strong relationships with referral sources ensuring smooth transitions and follow-ups.
- Serve as a reliable consultant for clinicians, healthcare providers, and community partners.
- Authenticate insurance benefits and work with clients to set up payment arrangements while clarifying financial options.
- Coordinate payment processes in partnership with billing and finance departments.
- Consistently achieve or surpass admissions KPIs such as conversion rates, timely responses, and client satisfaction.
- Participate actively in coaching, team meetings, and performance evaluations to enhance outcomes.
- Keep precise records using CRM software (Salesforce), electronic medical records, and billing platforms.
Qualifications
- Preferred bachelor’s degree in marketing, behavioral health sciences, or related disciplines.
- Minimum 3 years of experience in behavioral health admissions, preferably in inpatient, residential, or intensive outpatient programs.
- Demonstrated experience in call centers, client engagement, or healthcare sales environments.
- Strong communication skills including objection management and relationship development.
- Proven track record of meeting or exceeding monthly KPIs in a fast-paced admissions role.
- Familiarity with CRM systems like Salesforce, electronic medical records, and Microsoft Office applications.
- Typing proficiency of over 50 words per minute while interacting with clients.
- Employment contingent on successful completion of a thorough background check, including criminal and motor vehicle records.
Schedule and Location
This position offers flexibility as either a fully remote role, or a hybrid option based from our Denver administrative office. Candidates residing in Colorado, Maryland, or Virginia are preferred. Work hours run Tuesday through Saturday from 1:30 PM to 10:00 PM.
