Role overview
The Winnipeg Regional Health Authority is hiring an Administrative Secretary 2 to support Community Health programs at WRHA Community Health Services - Misericordia Health Centre in Winnipeg, Manitoba. This is a full-time, in-person position within the non-clinical stream and unionized under CUPE.
The role reports to the Manager, Facility and Support Services, or another assigned manager. The successful candidate will provide broad administrative assistance to community health teams and help keep office operations running smoothly across the site and nearby community offices.
Key duties
This position covers front-desk and administrative support tasks such as handling switchboard and reception duties, preparing word-processed documents, entering data, managing incoming and outgoing mail and fax material, photocopying, maintaining files and records, collecting statistics, monitoring and receiving inventory, distributing office and medical supplies, and coordinating appointments and meeting room bookings. The role also includes maintaining the daily staff absence/coverage list for reception use and performing other office-related duties as needed.
The incumbent is expected to support a respectful workplace and take part in shared workload coverage within the administrative support team for the site and surrounding community area offices.
Experience
Applicants should have at least two years of relevant experience. Prior work in data entry is considered an advantage. Experience with recordkeeping and compiling statistical information is also important, along with strong communication skills and previous switchboard or receptionist experience. Background in mail handling, photocopying, faxing, and maintaining filing systems is preferred. Administrative experience in a health care office would be an added benefit.
Education and technical requirements
A completed high school education meeting Manitoba standards is required, along with successful completion of a formal post-secondary administrative assistant program. An equivalent mix of education and experience may also be considered. Candidates must be able to type 40 words per minute and should be proficient in Microsoft Word, Excel, and Outlook. Familiarity with PowerPoint is preferred.
Skills and personal attributes
Strong English communication skills, both verbal and written, are essential. The employer is looking for someone who can quickly learn new computerized systems, work well with others, protect confidential information, manage a demanding workload under pressure, meet deadlines, and operate independently with little supervision.
Conditions of employment
A satisfactory current Criminal Records Check, including Vulnerable Sector Search, as well as Child Abuse Registry and Adult Abuse Registry checks, are required before employment. The candidate is responsible for any associated service charges. For this process, a security check is considered current only if it was completed within six months before the start date.
An employee cannot hold two or more positions within the WRHA legal entity if the combined hours exceed 1.0 EFT. The WRHA legal entity includes Churchill Health Centre, Deer Lodge Centre, Golden Door Geriatric Centre, Golden West Centennial Lodge, Grace Hospital, Middlechurch Home of Winnipeg, Pan Am Clinic, River Park Gardens, Victoria General Hospital, WRHA corporate programs, and WRHA community health services.

Schedule and compensation
The position is set to begin on July 16, 2026. It is a day-shift role with 7.75 hours worked per day and 2,015 annual base hours. The salary range is $23.792 to $26.356 per hour, with the listed progression points of $23.792, $24.379, $24.997, $25.717, and $26.356.
