Role overview

This full-time permanent position sits within Clinical Operations & Project Management - Site Start-Up and supports administrative work for the department and/or Director. The role is focused on keeping day-to-day operations running smoothly while following project, company, industry, and regulatory standards.

Core administrative support

The position involves managing both paper-based and digital records, including reviewing, tracking, scanning, filing, and retrieving documents and files. It may also include help with scheduling meetings, appointments, and travel, along with preparing documents, presentations, correspondence, meeting notes, and agendas.

In addition, the role may support office coordinators with divisional supplies, equipment, employee absences, and budget-related expenses. Reception duties such as handling phone calls, emails, and visitors, as well as general clerical support, may also be part of the job.

Project support

  • Support the functional team in managing paper and electronic documentation so that all items are reviewed, entered, tracked, and filed in line with project, corporate, industry, and regulatory requirements.
  • Provide documents and information to project teams promptly, helping with the completion, approval, and distribution of project documents, supplies, and contracts.
  • Contribute ideas and input to improve document management workflows and systems so the department operates more efficiently.

Corporate administrative and clerical support

  • Assist with coordination of divisional support services, including managing and redirecting queries by phone, email, and correspondence; arranging visits and meetings; and maintaining travel, records, documents, data, and files.
  • Keep document-tracking databases up to date, prepare reports, and respond to questions about documents.

Qualifications

Applicants should have either a high school diploma plus 1 to 3 years of relevant experience, or a one-year college advanced diploma or degree in a related field, combined with practical, on-the-job training and experience.

Skills and tools

The ideal candidate must have strong attention to detail and be comfortable using Microsoft Office tools.
