Role Overview
We are looking for a meticulous, proactive, and professional Administrative Assistant to join our Institutional Capital team. This pivotal role involves managing diverse administrative responsibilities to ensure the team’s smooth functioning, including complex scheduling, comprehensive travel planning, expense management, and acting as a liaison for internal and external parties.
Key Responsibilities
- Organize and manage intricate calendars, scheduling meetings and conferences for several team members.
- Plan and coordinate elaborate domestic and international travel arrangements, encompassing itinerary creation, visa support, and transport logistics.
- Book conference rooms, arrange catering, and prepare necessary meeting documents.
- Monitor business and travel expenses, gather documentation, and produce precise expense reports.
- Serve as a primary contact point for stakeholders internally and externally, ensuring timely communication and follow-up.
- Maintain well-organized, current files, records, and correspondence.
- Cultivate and uphold strong working relationships with senior leadership, colleagues, vendors, and clients.
- Exercise utmost discretion and professionalism when managing confidential information.
- Coordinate participation in conferences, including registration, payments, attendee tracking, and vendor communication.
- Assist with special projects on an as-needed basis.
Candidate Profile
- Bachelor’s degree preferred or equivalent professional background.
- Minimum of three years’ experience in administrative support, ideally in financial services or professional services.
- Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Familiarity with Adobe Acrobat DC and Concur expense management software.
- Experience with Salesforce is advantageous.
- Strong organizational, prioritization, and time management abilities.
- Excellent written and verbal communication skills.
- Capability to work autonomously while collaborating effectively within a team.
- Exemplifies professionalism and discretion in handling sensitive data.
Compensation and Benefits
The position is based in New York, NY, with a base salary range of $90,000 to $110,000 annually. Actual remuneration will vary depending on skills, experience, and qualifications. Eligible employees may receive discretionary bonuses based on individual and team performance. Work Schedule
This role requires working from the office Monday through Thursday.
