Job Overview

We are a rapidly expanding team seeking a dependable and meticulous Administrative Assistant to ensure our daily operations run seamlessly. This position begins as part-time, with a clear trajectory towards a full-time role as responsibilities expand.

Key Responsibilities

  • Manage and process correspondence from our virtual mailbox.
  • Assist in tracking and maintaining state compliance requirements across various jurisdictions.
  • Coordinate the shipment of merchandise and swag for new hires.
  • Provide support for internal people operations and administrative functions, including onboarding logistics, document organization, and record-keeping.
  • Proactively identify and address operational needs, follow up on outstanding tasks, and serve as a reliable support resource.

Ideal Candidate Profile

  • Exceptional organizational skills and a proactive approach to identifying and resolving potential issues.
  • Excellent written communication and professional demeanor.
  • Ability to work autonomously with minimal supervision.
  • Proficiency in managing a variety of recurring and ad-hoc tasks using different tools.
  • Discretion in handling sensitive and HR-related information.

Preferred Qualifications

  • Previous experience in an administrative assistant, virtual assistant, or operations support role.
  • Familiarity with state business compliance procedures, such as registered agent services and annual report filings.
  • Experience utilizing tools like Google Workspace, Slack, Notion, and standard HRIS platforms.
  • Previous experience supporting small or remote-first teams.

Work Schedule and Compensation

  • This role is part-time initially, with flexible weekly hours to be discussed.
  • Availability during Pacific Standard Time (PST) business hours is required.
  • There is a long-term potential for this position to evolve into a full-time opportunity.
  • The budgeted hourly rate for this position is $20.
