About the Role
Outsourcing Advantage is a specialized boutique business process outsourcing company focused on delivering back-office and customer service solutions to U.S.-based clients. We are looking for motivated, organized, and self-driven Administrative Assistants, Executive Assistants, and General Virtual Assistants to join our pool of talented professionals. The successful candidates will assist business leaders by managing administrative duties, calendars, communications, and supporting daily operations efficiently and professionally.
Key Responsibilities
- Oversee the management of calendars, appointments, and meetings to ensure smooth scheduling.
- Handle business correspondence including email coordination with clear and professional communication.
- Create and compile reports, presentations, and various business documents.
- Maintain organized filing systems with accurate record keeping.
- Enter data and update customer relationship management (CRM) systems as needed.
- Arrange travel plans and bookings when necessary.
- Support project management activities and assist with operational tasks.
- Carry out general administrative functions as required.
Requirements
- Minimum of two years experience in administrative or executive assistant roles.
- Strong command of English with excellent communication skills.
- Highly organized with effective time management capabilities.
- Proficiency in Microsoft Office suite and Google Workspace tools.
- Experienced in calendar scheduling and comprehensive email management.
- Adept at multitasking and able to work independently with minimal supervision.
- Familiarity with project management platforms such as Asana, Trello, ClickUp, Monday.com, or equivalents.
Preferred Qualifications
- Bachelor’s degree in Business Administration, Communications, or related disciplines is beneficial but not mandatory.
- Background in assisting executives, business owners, or senior leadership personnel.
- Prior experience in remote roles, especially working with U.S.-based or international teams.
- Knowledge of CRM software like HubSpot, Salesforce, Zoho, or similar platforms.
- Experience preparing detailed reports, presentations, and meeting minutes.
- Strong analytical and problem-solving abilities with the capacity to anticipate requirements and act autonomously.
- Experience managing travel arrangements and processing expense reports.
- Comfortable using AI-driven productivity tools such as ChatGPT, Claude, or Microsoft Copilot.
- Demonstrated adaptability to rapidly learn new software and handle shifting priorities.
