About the Role

PHM is looking for a reliable, highly organized, and quick-to-respond Administrative Assistant to support senior leaders across executive, commercial, and finance teams. This is an early-career opportunity for someone motivated, proactive, and energized by helping leaders work efficiently.

You will handle calendars, arrange travel and conference details, coordinate with outside partners, and provide polished administrative and operational support. The position sits within PHM’s Marketing department and may also include exposure to marketing operations, offsite planning, and cross-functional projects. In this role, you will collaborate closely with senior executives and partners across the business, building experience in executive assistance, business operations, and marketing within a mission-driven healthcare company.

Key Responsibilities

  • Improve executive productivity by taking ownership of scheduling, calendar coordination, and related logistics.
  • Manage complex calendars across multiple time zones while weighing competing priorities with good judgment.
  • Arrange and rank internal and external meetings, resolving scheduling conflicts before they become issues.
  • Organize domestic and international travel, especially for conferences and multi-day events.
  • Plan and support meetings, events, and conference logistics end to end.
  • Prepare leaders for meetings by assembling agendas, materials, and follow-up items.
  • Assist with leadership meetings, board meetings, company offsites, and internal events.
  • Represent PHM professionally in communications with external partners, company collaborators, and Board members.
  • Stay ahead of needs, spot possible problems early, and solve logistical challenges in a fast-changing environment.

Candidate Profile

  • At least 1 year of professional experience, with added value if you have supported senior executives in a growing company.
  • Strong accuracy and a prompt communication style, especially when dealing with urgent tasks.
  • Excellent organization and the ability to handle several priorities at the same time.
  • Comfort using modern, technology-driven tools and adapting quickly to new systems.
  • A proactive, accountable approach with strong ownership and consistent follow-through.
  • A positive, helpful, and service-minded attitude.

Compensation and Benefits

The pay for this role is $24.00 to $36.00 per hour, which translates to an estimated annual range of about $50,000 to $75,000 based on a 40-hour workweek. Final compensation may differ depending on experience, location, and business needs.

This position includes eligibility for PHM’s benefits package, which offers health, dental, and vision coverage, a 401(k) with employer match, paid time off, PHM services for you and your dependents, and other benefits.

Location

This is a remote position. Applicants must live in the United States and complete all work from within the country. Only minimal travel may be needed.
