Job Overview and Responsibilities

  • Communicate and ensure adherence to all internal rules and regulations among employees.
  • Handle employee queries with professionalism and discretion.
  • Assist with data submission and collection at government offices and embassies as needed.
  • Support coordination of medical appointments such as residency and food handler certifications, including transportation of employees to and from these appointments.
  • Perform routine office tasks including typing and processing paperwork related to employment and separation procedures.
  • Assist in documentation necessary for government relations tasks.
  • Maintain the filing system within the Terms and Conditions office accurately.
  • Provide support with airport pick-ups for new hires and facilitate local transfers and accommodation relocations.
  • Monitor expatriate employees’ passports, visas, and other legal documents to ensure compliance.
  • Keep confidential employee files secure and up to date.
  • Distribute QIDs, paycards, hotel IDs, and health cards responsibly to employees.
  • Ensure proper filing of all internal and external applications related to potential candidates.
  • Maintain positive working relationships with colleagues and other departments.
  • Understand and adhere to the hotel’s Employee Handbook, including policies on fire safety, hygiene, health, and safety regulations.
  • Comply with applicable Qatar legislation and labor laws.

Qualifications and Requirements

  • Possession of a valid driver's license without any driving violations.
  • At least 1 to 3 years of combined experience in driving and administrative support roles.
  • Good knowledge of local roads, traffic laws, and proficient use of GPS navigation systems.
  • Basic understanding of human resources and administrative processes, such as employee record keeping, document filing, and scheduling.
  • Competency in Microsoft Office suite (Word, Excel, Outlook) and effective email communication skills.
  • Strong organizational abilities and effective time management.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive employee information confidentially and ethically.
