Role overview

Canva is hiring an Admin Business Partner (Executive Assistant) to support a senior executive in Sydney. The role is for someone who can move quickly, handle sensitive information carefully, and simplify complex workflows by engaging the right people at the right time. The position reports to the Chief of Staff for the executive being supported.

Work location and setup

This role is anchored in Sydney, New South Wales, Australia. The company’s flagship Sydney campus is in Surry Hills and is designed as a collaborative workspace. The working model is hybrid, offering a mix of remote work and on-campus time for in-person collaboration when it is most useful. The employer is specifically seeking someone who is based in Sydney.

What the role involves

You will support a senior leader by helping them focus on the highest-value priorities. The job calls for a highly organised, proactive professional who can manage a busy workload, use AI wherever possible to work more efficiently, and serve as a central point of coordination across teams and external contacts.

  • Handle calendar and inbox workflows, triaging a large number of meeting requests so the executive can stay focused on strategic priorities.
  • Build strong relationships with internal and external stakeholders and act as the communication link between the executive and the wider business.
  • Support meeting preparation by coordinating materials, carrying out research, creating decks, and helping develop visual communications for important company updates.
  • Arrange travel logistics and build itineraries that keep trips running smoothly.
  • Manage a variety of administrative and operational tasks such as expenses, document refinement, and ad hoc support requests.
