The opportunity

This role sits within the Workplace team and focuses on delivering a high-quality workplace environment and service experience for EirGrid employees. The position is central to coordinating workplace operations and managing activities carried out both internally and by external on-site service providers.

You will work as part of a small team of workplace specialists, reporting to the Workplace Head of Function. The aim is to keep the workplace professionally run at all times and to help create an efficient, positive day-to-day experience for staff.

Important: The role is highly site-based. You must be prepared to work from the office at least four days each week, and in many cases five days on site will be needed depending on the work schedule.

Key responsibilities

  • Coordinate and monitor the daily running of workplace and facilities activities.
  • Manage suppliers and contractors to ensure reliable, high-standard service and strong performance.
  • Process purchase orders and invoices, while keeping budget records up to date and accurate.
  • Lead seating and space planning activities, including workspace utilisation reporting and analysis.
  • Support and promote sustainability efforts across the workplace and encourage employee participation.
  • Deliver workplace induction sessions for new starters in an engaging and practical way.
  • Oversee the joining and exit process for employees to ensure a smooth, professional experience.

About you

We are looking for someone with a strong background in workplace or facilities coordination, ideally within a large office or building environment, along with excellent operational judgement and communication skills.

The ideal candidate will bring:

  • At least 3 years’ experience in coordinating or supervising workplace/facilities operations in a large workplace setting.
  • Availability to be on site up to 5 days per week.
  • A bachelor’s degree or a qualification in Facilities Management or Workplace Management, which would be an advantage.
  • Solid experience in budget monitoring, invoice processing, and purchase order administration.
  • Strong process, planning, and organisational abilities, with excellent attention to detail.
  • Demonstrated problem-solving skills and the ability to deliver practical, innovative solutions.
  • Very good written and spoken communication skills, along with strong interpersonal and customer service abilities.
  • Hands-on experience in workplace and facilities supervision or coordination, preferably in a sizeable office or property environment.
  • Working knowledge of contract management and vendor management.
  • A responsive, accountable, self-motivated approach to work.
  • Strong relationship-building skills across different teams and functions.
