Job Overview

The Video Conferencing Coordinator role involves the management and scheduling of videoconferencing services across criminal justice agencies, ensuring that prisoners' virtual appearances for court, legal consultations, and other official purposes proceed smoothly and efficiently.

Key Responsibilities

  • Manage and coordinate all videoconference bookings using the GoBookings online scheduling platform.
  • Engage with courts and correctional center staff to minimize waiting times for prisoners and reduce the need for rescheduling court appearances.
  • Monitor active videoconference sessions, maintaining communication with courts, legal representatives, and custodial officers to manage prisoner movements, session completions, cancellations, and delays.
  • Facilitate information sharing among custodial centers, Sentence Management, courts, and legal representatives regarding prisoner placements and transfers.
  • Observe prisoner reactions to court outcomes when feasible and relay pertinent information to custodial officers and the Offender Development unit.
  • Ensure timely and accurate exchange of information with relevant agencies to optimize videoconferencing resource usage.
  • Foster strong relationships with key stakeholders to improve communication and coordination concerning videoconferencing operations.
  • Arrange onsite visits to local courts and external bodies to maintain clear liaison with judiciary members, court staff, and other professionals.
  • Maintain and update electronic agency recording systems, compiling relevant information as required.
  • Accurately document all data collected throughout videoconferencing activities.
  • Support monitoring and upkeep of the IOMS (Integrated Offender Management System) to ensure data accuracy and availability of statistics.
  • Provide data entry assistance and administrative support to staff as necessary.
  • Maintain strict confidentiality of all documents handled.
  • Assist with administrative tasks including preparing memorandums, reports, correspondence, and human resource documents.

Additional Information

The position description lists the core duties, but candidates may be expected to perform other responsibilities as needed. Applications will remain valid for 12 months. This role is part of the Administration occupational group.
