Overview
This full-time role, reporting to the Admissions and Records Manager, involves assessing incoming college transcripts and managing secure student academic records. Scheduled evening and weekend work may be necessary occasionally.
Key Duties
- Conduct preliminary transcript reviews using Slate to confirm authenticity, completeness, and accreditation status; efficiently organize and route transfer records with system tools.
- Assess traditional postsecondary courses, military training credentials, and official exam scores (AP, ACT, CLEP), including in-state dual credit credits.
- Confirm prior institutions hold valid regional or national accreditation.
- Request course descriptions from other colleges for dean review regarding transfer equivalency.
- Ensure accurate data entry into Degree Works to provide academic advisors with up-to-date student progress.
- Manually evaluate and record official external coursework in Ellucian Banner, establishing course equivalencies and assigning elective credits per university transfer standards.
- Use specialized Banner screens to input external institution details, attendance periods, course codes, and grade information precisely.
- Manage conversion of quarter-to-semester credits and oversee system processes to finalize transfer coursework on academic records.
- Collaborate with advisors, faculty, and department heads to clarify transfer equivalency and resolve issues in degree audits.
- Review and apply approved Academic Fresh Start applications in Banner to exclude specified coursework from GPA calculations.
- Evaluate postsecondary transcripts to verify student readiness for college-level programs according to state policies and institutional standards.
- Develop and maintain the institution’s master transfer framework within Banner, updating for curriculum changes, course expirations, and credit adjustments.
- Undertake additional duties as assigned.
Required Qualifications
- High school diploma or equivalent with 1-2 years experience in a records office environment.
- Exceptional accuracy with extensive experience handling high-volume data entry without errors.
- Ability to meet strict deadlines and manage heavy workload during peak enrollment times.
- Strong communication skills for clear explanation of complex transfer policies.
- Demonstrated ability to work with minimal supervision, showing initiative and self-direction.
- Absolute commitment to confidentiality and compliance with FERPA regarding student records.
Preferred Qualifications
- Associate’s Degree.
- Familiarity with transcript evaluation standards and catalog guidelines.
- Experience or knowledge of Ellucian Banner, Slate, and electronic transcript databases.
Additional Skills
- Basic arithmetic skills including addition, subtraction, multiplication, and division.
- Customer service capabilities.

Compensation and Application Process
The role offers an annual salary range of $30,000 to $35,829, determined by experience based on the current compensation plan. The position will remain open until filled.
