Role overview
This position supports mid-level leaders with a wide mix of administrative responsibilities. The role centers on keeping day-to-day operations organized through calendar coordination, meeting preparation, communication handling, and project support. It also requires close collaboration with different leadership levels, strong discretion, and a service-oriented approach.
Key responsibilities
- Manage calendars for supported leaders, including availability planning, scheduling, meeting logistics, and organizing materials for meetings.
- Review meeting requests against priorities and availability, spot scheduling conflicts, and work proactively with others to resolve them.
- Help supported leaders organize their work more efficiently and effectively.
- Handle a moderate to heavy volume of inbox communication and connect information from multiple channels to help prioritize action items.
- Provide guidance on how to use travel, expense, and other department-specific technology tools.
- Draft, edit, and coordinate monthly reports when needed.
- Order supplies, manage role and access requests, and support onboarding activities for new employees.
- Research and arrange travel in partnership with the leaders supported, and assist with expense management.
- Create and maintain distribution lists and initiate selected HR-related tasks on behalf of supported leaders.
- Contribute to department or enterprise projects that may be complex and tied to strategy or broader business plans.
Required qualifications
- At least 4 years of related experience, or an equivalent mix of work experience, training, military service, or education.
- High school diploma is required; an associate degree is preferred.
- Strong organization, attention to detail, and follow-through.
- Clear verbal and written communication skills.
- Ability to collect, review, and combine information from different sources.
- Skill in setting priorities, managing several tasks at once, and meeting deadlines.
- Comfort working in fast-changing environments while handling confidential information appropriately.
- Proficiency with keyboarding, Windows-based software, Microsoft Office, web tools, mobile business applications, and office equipment.

Compensation
The posted base pay range for this role is $22.93 to $40.96 per hour. Compensation may vary by location, work experience, education, licensure requirements, and skill level, and the final offer will be set at the time of hire. Non-sales roles may also be eligible for a bonus program. Examples of location-based ranges provided include Wichita, KS; Des Moines, IA; Charlotte, NC; Chicago/Minneapolis; and Los Angeles/N.
