About the Role
An established Life Sciences organisation is hiring a permanent Executive Assistant to support its Chief Scientific Officer. The position is designed to help the CSO stay focused on strategic priorities by taking ownership of a broad mix of administrative and coordination tasks, requiring excellent organisation, prioritisation and the ability to manage multiple demands at once.
This is a full-time hybrid role based between central London, Stevenage in Hertfordshire, and home working. The weekly split is 2 days in the central London office, 1 day in Stevenage, and 2 days working remotely. Applicants should have recent experience in the Life Sciences or scientific environment.
Key Responsibilities
- Manage the CSO’s diary and calendar in a proactive and detail-focused manner.
- Oversee the CSO’s email inbox, including setting up a clear triage process.
- Serve as the main point of contact for enquiries, handling them accurately and resolving issues to keep day-to-day operations running smoothly.
- Arrange all logistics for internal and external meetings, including room setup, hospitality and welcoming visitors.
- Organise business travel end to end, covering transport, accommodation, itineraries and expense tracking.
- Capture meeting minutes, monitor action points and support timely completion of tasks and projects.
- Act as a liaison between the CSO and internal/external stakeholders, building effective working relationships.
- Keep the CSO updated on upcoming commitments and anticipate needs ahead of meetings and events.
- Work closely with other EAs and PAs across the organisation, sharing best practice, providing cover and offering support when needed.
- Take on additional projects and responsibilities as required, with a flexible and proactive approach.
- Mentor a PA/Administrator within the admin support team.
Requirements
- Substantial experience working as an Executive Assistant at senior level.
- Recent or current background in Life Sciences or a scientific sector.
- Advanced Microsoft Office capability.
- Strong organisational ability and the confidence to prioritise competing demands.
- Clear verbal and written communication skills.
- Comfortable working under pressure while managing deadlines.
- Good troubleshooting and problem-solving skills.
- Energetic, highly proactive and self-driven approach.
