Job Overview

Reporting to the Head of Facilities Management, this position involves delivering comprehensive administrative and office support to ensure seamless Facilities Management operations within the hospital setting. The role includes proposing, implementing, and streamlining administrative strategies and processes aligned with hospital policies and audit standards.

Key Responsibilities

  • Manage and oversee all administrative processes of the Facilities Management department, including procurement, filing, payment handling, and billing procedures.
  • Lead administrative efforts, ensuring deadlines for meetings, reporting, and data submissions such as KPIs are consistently met.
  • Act as the administrative liaison for IHAM system-related matters, including account management and asset registry coordination with Ministry of Health Holdings (MOHH) representatives.
  • Support the Facilities Management Head in organizing meetings and briefings by providing diligent administrative assistance.
  • Efficiently organize and maintain office records, files, memorandums, and related documents.
  • Maintain the shared information folders and oversee minor and IT asset management within the FM department.
  • Conduct quality verification on incoming documents such as Operation Maintenance Manuals and As-built Drawings received from project teams.
  • Ensure the accuracy and updating of master lists for quality records, SOP documents, and inventory control.
  • Contribute actively to audits subscribed by the hospital, including IT/Data Protection, Facilities Management CSA audits, Ministry of Health Licensing and Inspections, ESS audits, and ISO 45001 certification assessments.
  • Collaborate closely with the Contract Management team within FM to satisfy audit compliance requirements.

Candidate Requirements

  • Degree holder in Facility Management, Engineering, or Business Management is preferred.
  • At least three years of professional experience in the building sector with substantial administrative exposure in large organizational contexts.
  • Strong verbal and written communication abilities.
