Role Overview

We seek a dedicated RFP Specialist to join our RFX team. This role involves coordinating and managing proposal creation, bids, quotations, and vendor/security questionnaire responses for reselling partners. The position requires strong collaboration, keen attention to detail, and efficient handling of multiple projects to support Geotab’s sales operations.

Key Responsibilities

• Oversee vendor profile management and handle due diligence requests, security questionnaires, as well as small to medium-sized proposals.
• Coordinate the complete RFP lifecycle: developing response templates, conducting kickoff meetings, engaging subject matter experts for content validation, drafting, editing, finalizing proposals, submitting responses, and performing debriefs.
• Maintain accurate Salesforce records related to proposals and RFP activities.
• Communicate consistently with internal teams to establish clear timelines and deliverables.
• Utilize AI tools proactively to enhance workflow efficiency and accelerate processes.
• Support RFX team members, including assisting with training new hires and interns, while updating training materials and manuals.
• Contribute to the creation and refresh of RFX content, participate in team projects and annual performance assessments.
• Manage content updates for the RFX team and assist with administrative duties such as compiling quarterly reports.
• Engage in strategic reviews to evaluate and improve Geotab’s RFX procedures.
• Be available for responsiveness beyond core hours during critical project phases.

Requirements

• 3 to 5 years of professional experience in sales operations or proposal management.
• Previous exposure to technical, SaaS, or engineering environments is preferred; familiarity with the high-tech industry is advantageous.
• Proficiency in adopting AI technologies and quick adaptability to new tech tools.
• Strong written communication skills, including proofreading and editing capabilities.
• A growth mindset with eagerness to learn, improve, and exchange feedback.
• Exceptional attention to detail and a commitment to accuracy.
• Able to handle pressure and rapidly shifting priorities with good organizational skills.
• Effective multitasking and project management capabilities.
• Excellent interpersonal and teamwork skills, able to interact at all organizational levels.
• Solid analytical and problem-solving abilities for informed decision-making.
• Technical competence using platforms such as Google Workspace (Sheets, Docs, Slides), Adobe Acrobat, CRM tools like Salesforce, Jira, Loopio, and various AI applications.
• An entrepreneurial spirit comfortable working in a flat organizational structure.

The annual salary range for this role is CAD 60,500 to CAD 74,800, negotiable based on experience, skills, location, and other factors. Employment offers are contingent on eligibility and background checks. This posting is for a current open position.
