Role Overview

The Recruiting Coordinator will join the People team and report directly to the Chief People Officer. This role is essential in managing smooth and efficient recruitment operations throughout SPAN. The coordinator will ensure positive candidate experiences, maintain organized recruitment data, and streamline communication among hiring managers and candidates. This opportunity is ideal for individuals starting their career in HR or recruiting within a fast-paced, mission-driven company.

Key Responsibilities

  • Organize and coordinate interview schedules across all departments and levels, collaborating closely with hiring managers and recruiting leads to guarantee seamless candidate experiences.
  • Act as the main liaison for candidates during the hiring process, providing clear and timely communication while embodying SPAN’s welcoming culture.
  • Oversee the management of job listings in the applicant tracking system (ATS) and on external platforms to ensure listings are consistent and accurate.
  • Maintain up-to-date candidate profiles and recruitment pipeline data within the ATS, ensuring clean and reliable reporting.
  • Assist with the preparation of offer letters and facilitate pre-boarding tasks by working alongside HR and hiring managers.
  • Monitor recruitment metrics such as pipeline health, time-to-fill, and interview conversion rates to generate reports for leadership review.
  • Support recruitment marketing efforts including events, career fairs, and employer branding activities.
  • Identify opportunities to enhance recruitment processes for improved efficiency and candidate satisfaction.
  • Provide general administrative assistance to the People team as needed.

Candidate Profile

  • Minimum of one year experience in recruiting, HR, or a related role involving detailed coordination and effective communication.
  • Excellent organizational skills with the capacity to juggle multiple active roles and complex scheduling.
  • Strong verbal and written communication skills suitable for interacting with both candidates and senior personnel.
  • Quick adaptability to new technologies and adherence to standardized procedures for process improvement.
  • A proactive and service-oriented approach, treating every candidate interaction as a representation of the company brand.
  • Capability to manage sensitive and confidential information with professionalism.

Preferred Qualifications

  • Prior experience in high-volume recruiting environments within rapidly expanding organizations.
  • Familiarity with ATS platforms such as Ashby and productivity tools like Google Workspace and Slack.
  • Knowledge of talent sourcing platforms including LinkedIn Recruiter.
  • Interest in clean energy, hardware, or mission-focused companies.
  • Exposure to broader HR support functions beyond recruiting, such as onboarding and HRIS management.
