About the Role
We are seeking a Purchase Specialist to strengthen procurement operations. In this position, you will handle purchasing paperwork, supplier onboarding, contract coordination, payment support, and the upkeep of procurement records while helping the organization stay aligned with internal policy and ensuring goods and services are sourced on time.
Key Responsibilities
- Draft and manage one-off procurement contracts, including preparing the paperwork, routing documents for internal approval, following the signing workflow, and ensuring every completed contract is properly stored and traceable.
- Support supplier onboarding and system access by coordinating registrations, checking that all required documents are in place, keeping supplier data up to date, and making sure vendors are activated in procurement systems according to company rules.
- Handle supplier reconciliations and payment processing by matching supplier statements with purchase orders and invoices, checking all backup documents, preparing payment requests, and working with Finance to support accurate and timely supplier settlements.
- Organize and maintain offline procurement files by filing, updating, and protecting physical records such as contracts, purchase orders, supplier documentation, invoices, and payment evidence, ensuring the files remain accurate, complete, and easy to retrieve for audits or reference.
Qualifications
A bachelor's degree in Procurement and Supply Chain Management, Business Administration, or another relevant discipline is required.
Required Skills and Experience
- Solid grasp of procurement workflows and purchasing documentation.
- Comfort using Microsoft Office tools, especially Excel, Word, and PowerPoint.
- Working knowledge of SAP, SRM, or similar ERP-based procurement platforms.
- Strong analytical and number-handling ability.
- Well-developed organizing and documentation capabilities.
- Careful approach with a strong focus on accuracy and detail.
- At least 1 to 2 years of experience in procurement, purchasing, or procurement administration is preferred.
- Direct experience with Supplier Relationship Management systems is required.
- Exposure to SAP procurement modules is highly desirable.
- Previous work in a manufacturing setting is an added advantage.
