About the Role

As an Order Coordinator, you will play a pivotal role in managing customer orders from receipt through delivery, coordinating across various departments to ensure smooth and timely fulfillment.
Primary Responsibilities
- Manage the full lifecycle of customer orders, ensuring accurate entry, upkeep, and tracking.
- Generate and communicate picking lists to warehouse teams, coordinating to resolve any issues like shortages or inaccuracies.
- Act as the key liaison among customers, sales, operations, logistics, inventory, and internal teams providing updates on order status and delivery commitments.
- Verify completeness and correctness of customer purchase orders, ensuring they align with pricing and delivery agreements.
- Process new, amended, or cancelled orders and schedule adjustments, following company protocols.
- Monitor progress to identify potential risks affecting delivery times and escalate matters proactively.
- Maintain regular communication with customers and internal teams regarding order updates including back-orders or possible delays.
- Support cross-functional coordination among inventory, logistics, and intercompany groups to facilitate timely order fulfillment.
- Keep accurate records of open orders to provide visibility into current demand and order statuses.
- Assist with shipment coordination and tracking, delivering timely shipment status and expected delivery information to customers.
- Investigate and resolve issues related to order discrepancies or documentation concerns, enhancing customer satisfaction.
- Contribute to ongoing improvements by identifying ways to streamline order management processes.
- Create and maintain reports on order intake, backlog, delivery performance, and customer service metrics.
- Review shipping and logistics terms during tender and RFQ stages.
Required Qualifications and Experience
- Diploma or Bachelor's degree in Business Administration, Engineering, Supply Chain, or a related field.
- Minimum of three years’ experience in order management, project coordination, customer service, or production support, preferably within manufacturing or oil and gas sectors.
- Familiarity with Infor SyteLine ERP for order processing and tracking.
- Strong knowledge of production workflows, documentation standards, and cross-functional collaboration.
- Understanding of order management and logistics processes, including applicable local regulations.
- Experience with warehouse operations is advantageous.

- Analytical problem-solving skills to diagnose issues and develop effective solutions.
- Knowledge of distribution center management and the movement of goods from supplier to customer.
- Proficiency in forecasting demand and production requirements.
- Inventory management expertise covering raw materials, work-in-process, and finished goods.
- Understanding of manufacturing requirements planning (MRP) systems and processes.
- Supplier relationship management experience within manufacturing contexts.
Additional Information
- The position requires onsite work five days per week.
- Travel expected up to 10% of the time.
- ISE/Payroll transfer option is not available for this role.
