Position Overview
As part of our growth strategy, we are seeking passionate tourism enthusiasts with excellent communication and teamwork skills, dedicated to creating unique client experiences, to join our Incoming Department team as an Incoming Reservation Agent.
Key Responsibilities
- Accurately receive, process, and follow up on bookings via telephone, email, and other communication platforms for hotels, guides, transport, restaurants, museums, tourist attractions, activities, and meetings as per assigned programs.
- Input all reservation data into the company's operational system.
- Strictly adhere to response deadlines towards both clients and suppliers in line with internal company protocols.
- Provide consultative guidance and clarification to clients throughout the booking and confirmation processes.
- Continuously update clients promptly on reservation statuses and efficiently resolve any booking issues.
- Maintain professional and dynamic communication with clients and suppliers through emails, phone calls, and other channels during regular working hours and, if necessary, in emergencies beyond working hours.
- Ensure precise commercial execution of offers, including sending proforma invoices to clients and managing client payments before check-in.
- Execute contract obligations with suppliers correctly and coordinate with the Finance Department to ensure their proper settlement.
- Respect deadlines for closing group bookings in the system.
- Provide daily, weekly, and monthly reports on work and challenges to the Department Head.
- Maximize the use of innovations, operational software, and communication channels provided by the company.
Qualifications
- University degree preferred in Exact Sciences or Foreign Languages.
- Strong command of English language (mandatory); knowledge of additional languages is an advantage.
- Minimum of 2 years experience in the tourism sector.
- Excellent organizational and communication abilities.
- Passionate about the tourism industry.
- Customer-oriented mindset.
- Ability to work independently and make quick, accurate decisions related to reservations.
- Receptive and adaptable to technological changes.
- Possess a strong work ethic and teamwork capability.
