Position Overview

The Human Resources Coordinator is tasked with managing and facilitating daily operational activities within the HR department to ensure smooth HR service delivery throughout an employee's journey. This role supports recruitment, onboarding, recordkeeping, HR system management, benefits handling, compliance, reporting, Health & Safety tasks, and general employee services. It serves as the initial contact point for standard HR inquiries, maintaining accuracy and adherence to policies and legislation.

Key Duties and Responsibilities

  • Administer recruitment processes including job postings, interview arrangements, candidate communication, preparing offers and contracts, conducting reference and background checks, maintaining recruitment documentation, and promoting a positive recruitment experience.
  • Manage onboarding and offboarding procedures, ensure accurate employment paperwork, support smooth employee integration and departure experiences, and maintain uniformity across these HR processes.
  • Maintain employee records and HR files diligently, generate HR documents and letters, respond to employee queries about HR policies, and guarantee confidentiality and excellent customer service to staff and management.
  • Oversee employee benefits enrollment, modifications, and terminations, liaise with benefit providers, maintain accurate HRIS data, support leave management, and assist with annual benefits renewals and communications.
  • Assist payroll with employee action reporting, monitor probation milestones, track mandatory training and compliance, prepare HR reports, maintain departmental records and calendars, facilitate HR audits, and ensure compliance with employment legislation.
  • Coordinate training sessions, track employee learning, support performance management administration, and monitor completion of required training programs.
  • Maintain Health & Safety documentation and records, track certifications and training, assist incident reporting and support compliance measures within the workplace.
  • Support and contribute to HR program implementation, identify and drive process improvements, assist with departmental projects, maintain HR templates and documentation consistency, and foster a collaborative HR environment focused on positive employee experience.

Qualifications and Experience

  • A university degree or college diploma in Human Resources, Business Administration, or a related field.
  • Certified Human Resources Leader (CHRL) designation or progress toward this credential is advantageous.
  • Between two and four years of expanding experience in HR administration or coordination.
  • Proven background in recruitment support, onboarding, benefits administration, and HRIS management.
  • Knowledge of Ontario employment laws and HR best practices.
  • Ability to work effectively in a dynamic, customer-oriented setting with strong organizational, communication, time management, and problem-solving skills.
  • Proficient in Microsoft Office Suite, Microsoft Teams, SharePoint, HRIS, Applicant Tracking Systems, Performance Management Systems, and HR reporting tools.
  • High professional standards regarding confidentiality and discretion.
  • Willingness to work across multiple sites considered a plus.
