Position Summary
The HR Shared Services Representative functions as the key contact for employee and manager questions, delivering tier-one support on human resources policies, procedures, and systems. The role involves managing administrative tasks spanning the employee lifecycle such as pre-boarding, onboarding, and terminations. Key responsibilities include supporting data entry, phone communication, monitoring Service Now cases, maintaining confidentiality, ensuring adherence to multi-state labor laws, and implementing various HR programs while providing excellent customer service.
Key Duties
- Provide first-level support for employee and manager queries related to HR programs, policies, and procedures, directing them to the proper resources and responding promptly and thoroughly.
- Administer various HR policies and procedures covering multiple functional areas.
- Offer guidance on compliance with federal, state, and local labor laws across multiple states, ensuring all HR processes meet regulatory standards.
- Manage and coordinate data entries and transactions for all employee lifecycle stages including pre-boarding, terminations, and status changes.
- Protect confidentiality of sensitive departmental and employee information according to established protocols.
- Monitor the pre-boarding process for new hires by tracking necessary documentation completion, facilitating background checks, processing new hire paperwork, and verifying I-9 forms, while maintaining ongoing communication with new employees.
- Maintain precise records of employee data.
- Troubleshoot and resolve employee HR system access issues.
- Engage effectively in video meetings and training sessions through clear on-camera communication.
- Deliver prompt, professional, and courteous customer service via phone by addressing inquiries, concerns, or complaints.
Qualifications
- A minimum of a high school diploma is required.
- At least one year of experience in a human resources capacity is necessary.
- Previous experience in shared services or call center environments is essential.
- Excellent interpersonal skills combined with strong customer service abilities.
- Capacity to collaborate effectively with remote team members.
- Ability to work independently in stressful situations.
- Strong organizational skills and proficient time management.
Preferred Qualifications
- Associate’s degree preferred.
- Two or more years of customer service experience.
- Experience with HR-related data entry, documentation, and reporting is advantageous.
