Job Summary
This position involves overseeing and coordinating ocean export freight operations to ensure the efficient flow of shipments, timely billing, vendor payment, and adherence to all financial, operational, and regulatory policies. You may also support ocean import activities and other organizational functions as needed.
Key Responsibilities
- Manage and track ocean export shipments from booking through completion, ensuring adherence to customer and company procedures.
- Liaise effectively with customers, carriers, truckers, customs brokers, overseas agents, and internal teams.
- Provide accurate and timely shipment updates, ensuring comprehensive and error-free documentation.
- Invoice shipments promptly within 1 to 3 working days post Actual Time of Departure, guaranteeing billing accuracy and resolving disputes.
- Monitor accounts receivable closely, coordinating with customers and Finance to address outstanding payments and inquiries.
- Process vendor payments by submitting invoices within 1 to 2 working days and ensuring broker and trucker payments occur within 10 days.
- Resolve discrepancies in invoices with vendors and service providers, maintaining proper accounting protocols and accurate shipment costing.
- Maintain complete shipment records, adhere to folder checklist requirements, and ensure quotations and prepaid charge documents are correctly archived.
- Update regulatory systems and milestones including FGV, ISF, AMS, ICS2, AFR and ensure compliance with all company, customer, carrier, and regulatory guidelines.
- Support ocean import operations and other departments as needed, participate in process improvement projects, and fulfill additional duties assigned.
