Role Overview
The Finance and Administrative Coordinator role, based remotely in Wahiawa, HI, is crucial for supporting the organization's financial and administrative tasks. This position aids the Finance Manager and Staff Accountant with contract financial administration, preparation and distribution of operational reports, as well as handling vendor invoicing and supporting documents. Responsibilities also encompass procurement and subcontract administration, vendor communications, statement of work reviews, and record maintenance. Additional duties include arranging travel for employees and candidates, ensuring adherence to company policies, and meticulous documentation of employee expenses and reimbursements.
Key Responsibilities
- Assist Finance Manager and Staff Accountant with contract financial management tasks such as invoice review and reporting.
- Prepare, gather, and circulate regular financial and operational reports.
- Review vendor invoices for accuracy and completeness, seeking missing documentation as needed.
- Engage with vendors to resolve invoice discrepancies and gather required information.
- Operate and maintain standardized vendor and material databases to support consistent reporting.
- Organize supporting documents for purchases, including those made with purchasing cards.
- Support procurement processes by creating purchase requests and coordinating subcontract actions.
- Review statements of work (SOWs) for completeness and compliance with routing requirements.
- Track service requests, subcontract activities, and procurement milestones within company systems.
- Coordinate travel plans for employees and candidates, managing schedules and necessary documents.
- Ensure communication regarding travel arrangements follows approval protocols.
- Maintain thorough records of employee reimbursements and contract-related expenditures.
Candidate Qualifications
- Associate degree in Business Administration, Accounting, Finance, or related areas, or equivalent experience.
- Minimum three years’ experience in administrative, accounting, project coordination, or contract support roles within government contracting.
- Strong grasp of project-based accounting and contract financial oversight.
- Familiarity with Federal Acquisition Regulations (FAR) and government contracting policies.
- Proficiency in Microsoft 365 and commonly used industry software.
- Excellent verbal and written communication skills.
- Ability to independently manage multiple priorities efficiently.
- High attention to detail and precision in documentation and reporting.
- Understanding of data privacy and confidentiality practices.
- Effective problem-solving and critical thinking skills.
- Good interpersonal abilities enabling teamwork and collaboration.
