Role Overview
This position supports a top senior leader and reports directly to the Chief of Staff. The Executive Assistant will manage daily calendar and inbox tasks, act as a trusted proxy of the executive’s office, and ensure focus is maintained on the highest priorities. This role demands strong judgment, discretion, and the capacity to function autonomously without extensive guidance.
Key Responsibilities
- Take full ownership of the executive’s calendar: scheduling, rescheduling, prioritizing, and safeguarding time with contextual understanding.
- Manage the executive’s inbox, draft responses appropriately, triage incoming requests, and highlight items requiring direct attention.
- Organize logistics for internal and external meetings, including preparing materials, agendas, and coordinating follow-ups.
- Collaborate closely with the Chief of Staff to maintain priority alignment and leadership schedules.
- Interact professionally and discreetly with senior leaders, board members, investors, and external partners.
- Monitor commitments and track ongoing tasks to prevent lapses.
- Handle confidential and sensitive information with the utmost care at all times.
Candidate Qualifications
- Minimum of 3 years providing executive support to C-suite individuals, preferably in dynamic technology or logistics firms.
- Proven expertise in managing intricate, high-volume calendars across different time zones.
- Excellent written communication aptitude, capable of drafting messages that reflect the executive’s tone accurately on the first attempt.
- Sound judgment to know when to make decisions independently and when to seek guidance.
- Ability to thrive in fast-paced environments with shifting priorities.
- Trusted to manage confidential information and navigate organizational dynamics sensitively.
- Proactive mindset to identify and address issues before they arise.
