Role Overview
We have created a new position for an Executive Assistant (EA) to support our Chief Technology Officer (CTO). This role goes beyond traditional EA responsibilities, requiring a proactive, strategic partner who ensures smooth operations for a busy executive and technology team. The successful candidate will be crucial in maintaining priorities, facilitating connections among leaders and stakeholders, and anticipating challenges.
Key Responsibilities
- Efficiently manage the CTO’s calendar to maximize productivity and impact.
- Organize and coordinate key leadership interactions such as one-on-one meetings, town halls, and team forums.
- Create professional presentations, reports, and communications to aid organisational engagement and decision-making.
- Plan and manage leadership meetings end-to-end, including setting agendas, tracking action items, and ensuring follow-up.
- Identify and implement process improvements to enhance teamwork and collaboration, utilizing tools like Microsoft 365, Jira, and Confluence.
- Serve as a reliable liaison with internal and external stakeholders.
- Assist with recruitment processes, including onboarding and offboarding within the technology division.
- Handle travel planning, expense tracking, invoice processing, purchase orders, and budget management.
- Lead engagement activities such as celebrations, team events, and recognition programs.
- Proactively anticipate and resolve obstacles.
- Collaborate with the wider Executive Assistant team and contribute to broader leadership priorities as required.
Candidate Profile
- Demonstrated experience providing executive support to senior leaders, preferably in technology, digital transformation, cyber security, data, or related complex fields.
- Strong stakeholder management with the ability to cultivate trusted relationships across all organisational layers.
- Advanced proficiency in Microsoft 365 and familiarity with collaboration platforms like Jira and Confluence.
- Excellent written communication skills capable of producing high-caliber executive documents and presentations.
- Exceptional organizational skills with the ability to juggle multiple priorities and projects.
- High standards of discretion and professionalism when handling sensitive information.
- Ability to work autonomously, anticipate executive needs, and offer proactive solutions.
- Resilience, adaptability, and a constructive, solution-oriented attitude in a dynamic environment.
