Role Overview
Serve as the Chief Executive Officer’s right hand in this pivotal role located in Austin, TX, requiring an on-site presence. You'll proactively manage the CEO’s calendar and priorities with minimal guidance, ensuring seamless daily operations in a dynamic, high-growth environment.
Primary Responsibilities
- Act as the CEO’s key decision-maker in calendar management, prioritizing and scheduling with business objectives in mind;
- Diplomatically coordinate and advance meetings, resolve scheduling conflicts, and adjust on short notice;
- Oversee correspondence related to scheduling from both internal and external contacts, ensuring clarity and completion;
- Maintain a physical presence locally by regularly checking the company PO box and appropriately handling mail items;
- Ensure accurate and timely follow-through on projects and tasks, closing all loops;
- Demonstrate composure under pressure, anticipate CEO’s requirements, and pay close attention to details others might miss.
Key Performance Indicators
- Timeliness in booking appointments following requests, with daily and weekly tracking of workload and efficiency;
- Consistent reminders and communications through various channels to prepare attendees and minimize last-minute reschedules;
- Clear rationale communicated to the CEO for calendaring decisions, balancing multiple priorities;
- Provide regular reports and develop standard operating procedures (SOPs) to document scheduling best practices and improve efficiency.

- Exceptional organizational discipline with a strong attention to detail and reliability;
- Expertise in creating and optimizing operational workflows, systems, and process documentation;
- Sound executive judgment with the ability to independently prioritize demands and communicate effectively;
- High conscientiousness with consistent follow-through and accountability;
- Excellent verbal and written communication skills, maintaining professionalism under pressure;
- Proficiency with calendar management, spreadsheets, CRM platforms, AI tools, and documentation systems.
