Role Overview
The Executive Assistant role supports the RTP International Leadership Team by overseeing advanced administrative and operational functions. This position coordinates calendars, schedules meetings, arranges complex travel, manages communications, and executes essential administrative tasks, ensuring smooth leadership operations. The ideal candidate must display excellent organization, meticulous attention to detail, sound judgment, and the capability to juggle various priorities in a fast-paced setting while safeguarding confidentiality and professionalism.
Key Responsibilities
- Offer executive-level assistance including intricate calendar management and scheduling across multiple time zones.
- Organize meetings, handle correspondence, maintain documentation, and facilitate day-to-day team activities.
- Coordinate domestic and international travel logistics, including flights, accommodations, ground transportation, and visa arrangements when necessary.
- Manage expense reports, purchasing processes, and credit card reconciliations while adhering to corporate policies and budgets.
- Plan and execute internal and external events, managing venue selections, logistics, catering, and communications with stakeholders.
- Create presentations, reports, memos, and other documentation to support leadership functions.
- Assist with departmental budgeting, reporting, and administrative projects.
- Support corporate systems including compliance procedures, access management, and expense management tools.
- Act as a pivotal contact bridging leadership with team members and organizational stakeholders.
- Contribute to onboarding efforts for new hires and provide supplementary administrative assistance as needed.
- Ensure full compliance with Mastercard's policies, procedures, and operational standards.
Candidate Profile
- Previous experience providing administrative or executive support in a corporate setting.
- Excellent interpersonal skills with the capacity to establish trust and collaborate across different functions.
- Highly results-driven, self-motivated, and able to adapt quickly to evolving priorities.
- Sound judgment with the ability to prioritize tasks effectively and maintain confidentiality.
- Outstanding attention to detail and organizational aptitude managing multiple responsibilities simultaneously.
- Thrives in dynamic, high-pressure environments.
- Strong written and oral communication abilities.
- Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook); familiarity with enterprise platforms such as Oracle is advantageous.
- A university degree is preferred.
Location Requirement
This position mandates working at least three days weekly from either the London or Harrogate office locations.
