Role Overview
This position provides senior-level administrative and executive assistance to the Managing Director. The role covers communication handling, schedule coordination, meeting and event support, research, reporting, presentation preparation, information management, and broader office administration.
Key Responsibilities
- Act as the main coordination point between the Managing Director’s office and internal teams or external stakeholders, ensuring communication remains professional, prompt, and clear.
- Handle incoming calls, messages, and documents by filtering, prioritising, and responding where possible, while escalating urgent matters with context and recommendations.
- Review important documents and prepare concise briefings for the Managing Director on priorities, risks, and required next steps.
- Arrange, support, and attend meetings, making sure agendas, materials, and follow-up actions are managed effectively.
- Organise executive events and business engagements when needed.
- Support the coordination of VIP and stakeholder visits to the organisation.
- Plan, organise, and carry out special directives and assignments on behalf of the Managing Director.
- Assist in preparing presentations, reports, and other business documents.
- Build and maintain productive professional relationships with senior leaders, external partners, and clients.
- Coordinate with internal departments and outside parties such as customers, suppliers, and partners on behalf of the Managing Director.
- Represent the Group professionally and credibly at senior levels.
- Prepare reports, presentations, and briefing packs requested by the Managing Director.
- Research information and compile analytical and statistical data as needed.
- Manage the Managing Director’s calendar, appointments, and time priorities.
- Arrange travel, itineraries, logistics, and expense tracking in coordination with relevant teams.
- Carry out general administrative tasks, including ordering supplies and maintaining records systems.
