Key Responsibilities
- Serve as the chief support partner to the CEO, managing his calendar, email triage, travel arrangements, and meeting preparation to maximize his efficiency.
- Oversee daily operations of the New York office, including managing vendors, supplies, facility upkeep, and fostering a welcoming, productive workspace.
- Plan and coordinate in-office events, team gatherings, and offsite meetings to enhance team spirit and workplace culture in NYC.
- Lead People Operations logistical processes such as onboarding, offboarding, device management, and maintaining accurate employee systems.
- Work collaboratively with Finance, People, and founding teams to handle expense tracking, budgeting, and operational procedures to ensure smooth company functions.
- Develop and refine administrative workflows and systems that anticipate needs and resolve issues proactively to support company growth.
- Manage sensitive communications and confidential information with high professionalism, discretion, and sound judgment.
Qualifications and Experience
- Minimum of 5 years experience combining executive assistance, office management, or operations roles in fast-paced startup or technology environments.
- At least 3 years dedicated to supporting a founder or senior executive with full control over scheduling and confidentiality.
- Proven success in managing office operations, vendor partnerships, and organizing events to maintain an orderly and efficient workspace.
- Practical knowledge of People Operations fundamentals including onboarding, offboarding, device lifecycle management, and maintaining HRIS systems.
- Proficiency with modern productivity tools such as Google Workspace, Slack, Notion, and common calendar, travel, and expense platforms; willingness and ability to incorporate AI technologies for increased efficiency.
- Strong interpersonal skills to mentor, collaborate across teams, and represent the CEO and company professionally.
- Ability to thrive in ambiguous, fast-changing environments by multitasking and reprioritizing as needed while remaining composed.
