Role Overview
The Events Manager will lead one of Lantern’s most operationally demanding and high-volume programs: a benefit fairs initiative that includes more than 200 open enrollment events each year for members. This position requires a strong customer-service mindset, since every detail and interaction shapes the Lantern brand experience.
In addition to the open enrollment program, the role also supports internal events and the company’s annual client conference. The ideal candidate is comfortable working through structured complexity, creating dependable systems, and keeping multiple teams moving toward the same goal.
This position works closely with Client Success, Member Marketing, and Growth Marketing Events. It is best suited to someone who takes pride in getting logistics right and understands that, at this scale, the process itself is part of the product.
Key Responsibilities
- Lead the full planning and delivery of more than 200 open enrollment benefit fairs each year, covering logistics, vendor coordination, staffing, and support on site.
- Design, maintain, and improve repeatable systems for the open enrollment benefit fairs program, including swag shipments, staffing coverage, and post-event reporting.
- Act as the main partner across Client Success, Member Marketing, and Growth Marketing Events so each fair aligns with client expectations and provides a consistent experience for members.
- Coordinate internal company events, including venue selection, room setup, logistics, budget monitoring, run-of-show creation, and vendor management.
- Assist with execution of the annual client conference through logistics support, attendee experience planning, and coordination on the ground.
- Keep pre-event materials thorough and accurate, and lead post-event reviews to document insights, identify recurring issues, and improve future execution.
- Monitor event budgets for the open enrollment program, note deviations, and help ensure spending stays within plan.
- Manage event calendars, project timelines, and internal tracking in Monday.com so all stakeholders remain informed without repeated follow-up.
- Create fresh activation concepts for priority client benefit fairs, including experiential moments, branded details, and on-site ideas that help Lantern stand out.
- Work with design and marketing teams on signage, event collateral, and member-facing communication when needed.
Requirements
- At least 3 years of experience handling large-scale or highly complex event programs, with the ability to manage several event types at once while maintaining quality.
- Demonstrated background in planning and delivering internal corporate events, including venue research, logistics, and on-site coordination.
- Excellent detail orientation and a disciplined, process-driven approach with a habit of using checklists, schedules, and backup plans.
- Strong ability to collaborate across functions and balance competing priorities among different internal stakeholders.
- Comfort with reviewing event performance data and turning findings into practical improvements.
- Experience using project management tools, ideally Monday.com; exposure to HubSpot and Salesforce is an added advantage.
- Ability to succeed in a fast-moving, high-volume setting with changing priorities and short deadlines.
- Willingness to travel and work flexible hours, particularly during peak open enrollment season.

- Experience in employer healthcare, employee benefits, or HR technology.
- Experience building scalable multi-event programs from scratch.
- Background working with client success or account management teams in a B2B environment.
- Experience hiring third-party contract staff for events.
