Position Summary
We are recruiting a full-time Document Specialist who will typically work between 37.5 to 40 hours weekly, receiving comprehensive medical, dental, and vacation benefits. This role involves providing extensive document production, clerical, and administrative support remotely. Under the general supervision of the coordination team, the specialist manages daily client operations, communicates progress updates to client personnel, and fosters cooperative interactions with end-users. The shift is scheduled Monday through Friday from 2pm to 10:30pm CST (3pm to 11:30pm EST) without any rotating weekend shifts, irrespective of the candidate's location.
Key Duties
- Develop, edit, reformat, and convert documents utilizing software such as Microsoft Office suite, PDF editing tools, and transcription applications.
- Construct and refine complex documents, including spreadsheets and charts.
- Offer coordination and administrative support on special initiatives.
- Handle sensitive and time-critical materials with efficiency and discretion.
- Conduct troubleshooting and diagnostic analysis of document inconsistencies.
- Convert and revise work products via keyboard input, scanning, or electronic conversion; transcribe audio dictation including reports and investigative transcripts as needed.
- Execute spell checks, proofreading, and cross-verification to ensure document accuracy and completeness.
- Stay current with specialized applications and updates to maximize productivity using document service tools.
- Provide performance feedback on team members upon request.
- Cultivate teamwork, confidence, and positive morale.
- Guide and instruct team members effectively.
- Assist in reviewing substandard or reworked outputs from colleagues.
- Proofread patent application documents, claims, and related patent materials.
- Format files to meet United States Patent and Trademark Office (USPTO) standards.
Required Qualifications and Skills
- High School Diploma or GED is mandatory.
- Preferred 2 to 5 years of experience in document outsourcing or within the legal sector.
- Ability to acquire necessary skills through combined in-person and remote training as well as self-directed learning.
- A high degree of initiative with capacity to independently operate under minimal supervision.
- Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
- Experience with Adobe Acrobat or Kofax for PDF manipulation is advantageous.
- Strong command of spelling, grammar, punctuation, sentence structure, and proofreading standards.
- Competence to prioritize and organize multiple ongoing tasks effectively.
- Capability to work autonomously ensuring seamless workflow without task overlap among team members.
- Ability to maintain quality under pressure within strict deadlines.
- Excellent communication, interpersonal, teamwork, and customer service skills.
- Experience working in a remote setting that supports focused and independent workload management.
Compensation and Benefits
The hourly pay for this position can reach up to $23.00, with eligibility for an annual bonus based on individual’s location, experience, skills, and credentials.
