Job Overview

As a Coordinator at DP World based in Dubai, you will be the central point handling all inquiries related to JAFZA training programs. Your role will involve managing training schedules, payment follow-ups, and communication with clients to ensure smooth training delivery and prompt invoicing.

Key Responsibilities

• Respond to and provide feedback on all JAFZA training-related inquiries.
• Create SAF quotations according to client-selected training options.
• Communicate training session details, availability, and payment information to customers and ensure collection of payments.
• Liaise with DPA to arrange schedules, locations, and general guidelines for training sessions.
• Confirm bookings and share training duration and schedule details with customers.
• Organize site visits for onsite training programs.
• Maintain records of bookings and sales on a weekly basis.
• Coordinate monthly invoicing details of JAFZA trainings with the DPA Accounts department for billing.
• Collect attendance sheets, prepare quotations, and manage First Aid card issuance and dispatch to clients after training completion.
• Request Proforma invoices from customers for advance payments specific to SIRA training.
• Maintain and monitor a database of settled invoices and weekly account balances to track attendee numbers.
• Submit payment release requests to Accounts Payables proactively when account balances are low.
• Develop quotations for all external SIRA training bookings and submit RFI requests via the invoicing portal.
• Manage payment notifications and cheque collections from external clients and update the accounts team accordingly.
• Provide payroll teams with weekly deduction details and employee acknowledgements to ensure accurate payroll uploads.
• Prepare logistical and administrative arrangements for both SIRA and JAFZA trainings.
