Role Overview

We are looking for a highly organized and detail-focused Construction Document Controller to join our project team. The chosen candidate will manage the entire document lifecycle of construction projects, ensuring that documentation is precise, current, accessible, and compliant with applicable standards and regulations. Managing multiple priorities with diligence will be essential for project success.

Key Responsibilities

  • Manage all phases of construction project documentation, from creation and distribution to tracking and archiving.
  • Thoroughly review construction-related documents such as drawings, specifications, contracts, ensuring they meet accuracy and standard requirements.
  • Maintain document control systems to provide the latest document versions while appropriately archiving older copies.
  • Ensure prompt distribution of documents to relevant stakeholders for timely project execution.
  • Develop and uphold an efficient filing and retrieval system for quick access to project records.
  • Conduct regular document audits to verify compliance with project, industry, and regulatory standards.
  • Oversee electronic and physical document repositories, including categorization, labeling, and indexing for easy access.
  • Work collaboratively with architects, engineers, contractors, and subcontractors to resolve document-related queries and issues.
  • Keep accurate records of correspondence, transmittals, RFIs, and change orders related to projects.
  • Provide training and support to project members on the use of document control procedures and best practices.

Qualifications & Experience

  • Graduation, diploma, or equivalent qualification is required; additional certifications in document control or construction management are advantageous.
  • At least 2 to 3 years of experience in a similar document control role, preferably within construction or a related industry.

Essential Skills

  • Knowledge of construction documents including drawings, specifications, contracts, RFIs, and change orders.
  • Exceptional organizational and time management capabilities to manage multiple tasks effectively.
  • Competency with document control tools, project management software, and proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Meticulous attention to detail ensuring document completeness and accuracy.
  • Strong analytical skills to effectively resolve document-related problems.
  • Excellent communication abilities for seamless coordination with all project parties.
  • Trustworthy in handling confidential and sensitive project information.
