Role overview
This opening is for a proactive and highly organised HR & Administration Assistant who will support the Human Resources function with coordination, administration, and document control. The role works closely with the CHRO, VP Human Resources, and Senior Manager Human Resources to keep daily operations running smoothly.
It is a strong fit for someone with around 2 to 3 years of background in HR administration, executive assistance, department secretarial work, or office administration, and who wants to grow a career in Human Resources.
Human resources administration
- Support the employee journey end to end, including onboarding, internal movements, confirmations, and exit processes.
- Prepare, update, and organise employee records, HR correspondence, personnel files, and related documents.
- Help draft employment agreements, letters, and other HR paperwork.
- Coordinate onboarding tasks for new hires and make sure all required documents are completed.
- Keep employee data accurate and confidential in HR systems and databases.
- Assist with employee benefits administration, leave tracking, and other HR programmes.
- Support HR projects, employee engagement activities, learning sessions, and company events.
- Compile HR reports, presentations, and department metrics when needed.
Executive and departmental support
- Provide secretarial and administrative assistance to the CHRO, VP HR, and Senior Manager HR.
- Maintain calendars, arrange meetings, and coordinate appointments.
- Handle travel arrangements, accommodation bookings, and related logistics when required.
- Prepare meeting packs, agendas, slide decks, and minutes.
- Track action items and follow up with relevant stakeholders to ensure completion.
- Handle confidential communication and sensitive information with care and professionalism.
General administration
- Coordinate department meetings, town halls, and HR events.
- Manage filing systems, document storage, and record retention processes.
- Work with internal teams and external vendors on administrative matters.
- Support procurement requests, purchase orders, invoice handling, and budget monitoring for the HR department.
- Keep office supplies stocked and help ensure the department runs efficiently.
- Take on ad hoc assignments and special projects as assigned by HR leadership.
Requirements
A diploma or bachelor’s degree in Human Resources, Business Administration, Office Management, or a related discipline is required.
The ideal candidate will have 2 to 3 years of relevant experience in HR administration, executive assistance, departmental secretarial work, or office administration. Experience supporting senior leaders or executives will be an advantage, but candidates without direct experience are also encouraged to apply.
