Job description
Role Overview
The Assistant Director – Administration Support Services reports directly to the Director of Administration. This role is tasked with overseeing and managing the Authority’s estates and general services to ensure efficient implementation of administrative policies that support service delivery within the organization.
Key Responsibilities
- Plan, coordinate, and oversee the activities and workflow of the Administration Support Unit to ensure smooth and effective service delivery.
- Develop, implement, and regularly review administrative policies and processes to optimize unit functionality.
- Create and maintain systems for managing both physical and electronic records of the Authority.
- Supervise and monitor the Safety, Health, and Environment functions to uphold compliance with Occupational Health and Safety regulations and policies.
- Set service standards and prepare operational budgets and departmental plans aimed at enhancing service efficiency.
- Provide guidance, coaching, training, and competency development support to staff to help meet performance standards.
- Ensure adherence to updated internal procedures and systems within the department to achieve organizational goals.
- Manage cleaning and other service contracts that create a conducive working environment.
- Develop and maintain asset management systems for the movable property under the department's care.
- Oversee the disposal process of Authority assets responsibly.
- Coordinate procurement and distribution of furniture and office equipment aligned with organizational needs and budgets.
- Consolidate departmental recurrent and capital budgets and monitor their appropriate utilization.
- Evaluate office space requirements across divisions and oversee optimal allocation and use of office facilities.
- Ensure the Authority gains maximum economic benefit from owned and leased properties.
- Facilitate liaison activities between the Administration Department and both internal units and external stakeholders.
Qualification & Experience
- Minimum 12th Grade School Certificate or equivalent.
- Bachelor’s Degree in Social Sciences such as Public Administration, Business Administration, or related fields.
- At least 5 years of relevant post-qualification experience in an administration department or related area.
- A minimum of 3 years experience in a managerial position.
- Valid membership in a relevant professional body.
- Additional training in Asset Management, Estates Management, or Occupational Health and Safety is advantageous.
- Possession of a Master's Degree in a related discipline will be considered a plus.
