About the Role

The University Physicians' Association, Inc. (UPA) seeks a dedicated full-time Assistant Clinical Office Manager for Edmunds Gastroenterology to help facilitate the smooth daily operation of the clinical office. This role is integral in supervising administrative personnel, ensuring healthcare regulatory compliance, and delivering excellent service to patients.

Key Responsibilities

  • Support the daily management of clinical office functions.
  • Oversee and guide front desk, scheduling, and administrative staff.
  • Manage patient appointment scheduling, registration, and check-in/check-out processes.
  • Maintain accurate patient records and adhere to HIPAA compliance standards.
  • Evaluate and enhance office workflow efficiency and patient satisfaction.
  • Assist in staff hiring, training, scheduling, and performance evaluations.
  • Handle patient concerns and resolve service-related issues professionally.
  • Manage office supplies and coordinate maintenance of equipment.
  • Provide support for billing, insurance verification, and prior authorization procedures.
  • Prepare administrative reports, maintain documentation, and assist with budget and inventory control.
  • Ensure adherence to OSHA, HIPAA, and organizational policies.
  • Collaborate with healthcare providers and clinical staff to promote quality patient care.

Requirements

  • Two to five years experience working in a medical office or healthcare environment.
  • Preferred prior leadership or supervisory roles.
  • Familiarity with medical terminology, insurance processes, and electronic health record (EHR) platforms.
  • Proficient in Microsoft Office and practice management software.
  • Strong capabilities in leadership and team management.
  • Effective communication and interpersonal skills.
